Year-end accountant handoff: a reconciliation packet for freelancers
Organize income, expenses, records and open questions so your preparer can trace totals instead of rebuilding your books.
Educational US federal examples for a Schedule C owner. Assumptions are stated below; use the current IRS instructions and your preparer’s review for a filed return. Sources checked October 23, 2026.
Start with one reconciliation, not a pile of forms
Prepare a year-to-date ledger, account statements, payment processor summaries and a list of unresolved differences. Record the tax year, accounting method and period covered. A 1099 is supporting evidence to reconcile against the ledger, not a new sale to add again. The example below assumes all settlements and receipts belong to the same period.
Worked processor-to-bank reconciliation
A fictional business has $120,000 in processor gross sales, $2,000 of refunds and $3,600 in fees. Net payouts are $114,400. Add $20,000 of direct customer receipts, a $5,000 owner contribution and a $3,000 transfer from another owned account: bank deposits total $142,400.
| Measure | Amount | Treatment in this illustration |
|---|---|---|
| Processor gross sales | $120,000 | Gross business receipts |
| Direct customer receipts | $20,000 | Additional gross business receipts |
| Gross business receipts before refunds | $140,000 | Not the same as bank deposits |
| Customer refunds | $2,000 | Separately identified reduction |
| Receipts after refunds | $138,000 | Before processor fee expense |
| Processor fees | $3,600 | Separate expense; do not subtract twice |
| Owner contribution and internal transfer | $8,000 | Not revenue |
| Total bank deposits | $142,400 | Reconciles to payouts plus direct receipts and non-revenue deposits |
Build the handoff packet
Use the checklist for income and expense ledgers, receipt references, vehicle records, home-office measurements, equipment purchases, retirement documents and tax payment confirmations. Include prior-year schedules for items that carry forward. Keep source records separate from your categorization so the preparer can see how a number was derived.
Make unresolved items explicit
The open-items CSV includes a fictional $450 unmatched deposit and an $1,800 equipment purchase needing a placed-in-service date. Give each an owner and a question. Do not force an unknown deposit into sales or silently expense equipment to make the worksheet balance. Ask your preparer to resolve accounting and tax treatment.
Complete the handoff
Use the preparer’s approved secure portal, identify which totals remain provisional, and agree on a date for missing records. The sample is a bookkeeping workflow, not a complete return or a rule for every business. Inventory, employees, sales tax, entity changes and multi-state activity may require additional schedules.
