PayPal help checked October 15, 2026. This explains its documented reconciliation workflow; it does not promise when your 2026 form will be available. Check Tax Documents during the 2027 form season.

A PayPal 1099-K reports gross payment activity, while your bank may show only net transfers. Reconcile those different totals before recording profit. This guide covers a freelance service business, not personal-item sales, inventory, or marketplace sales-tax accounting.

Find the platform's reconciliation report

In PayPal's Tax Documents area, look beside the 1099-K for the option to request a Reconciliation Report. PayPal says this report identifies the transactions included in the gross amount. Match transaction IDs to your own invoices and activity export.

If you still find an error, contact PayPal with the specific transaction IDs. Personal payments and currency conversion differences can explain discrepancies between reports. Keep the original report and any corrected form; do not edit the form yourself.

Worked example: gross payments are not the bank deposit

Illustration: a cash-basis freelance service business has $12,000 of customer payments, $500 of same-year refunds, and $360 of processor fees. Assume all money settles and is transferred in the year, with no opening balance, holds, sales tax, or other activity. This is a reconciliation example, not a claim that PayPal must issue a form at $12,000.

Worked example: gross payments are not the bank deposit
Reconciliation itemAmountTreatment in this example
Gross customer payments$12,000Starting amount, before reductions
Customer refunds−$500Reconcile returns separately
Processing fees−$360Business expense recorded once
Net cash transferred$11,140Agrees with bank deposits under these assumptions

Avoid counting the same dollars twice

The $11,140 is cash after the listed reductions, before other business costs. Do not record $12,000 plus $11,140 as two income sources. Do not start with $11,140 and deduct the same $360 again. If a client's 1099-NEC duplicates payments included by PayPal, reconcile the overlap and contact the issuer.

Real accounts need a bridge for beginning and ending balances, holds, transfers that settle in January, currencies, and nonbusiness movements. Group your evidence by transaction and date rather than forcing gross payments to equal deposits.

Carry clean records into TaxClover

TaxClover's expense CSV import accepts a PayPal export after you map columns, choose the money-out sign, and review duplicates. Import only rows you have classified as business expenses. Record income separately; importing fees is not a full PayPal revenue reconciliation.

No direct PayPal connection or automatic 1099-K matching is required for this workflow. Keep the reconciliation with your tax-year documents and use a preparer or filing software to complete the return.

Questions & answers

What if PayPal does not send me a 1099-K?

Use your own business records to report taxable receipts. See the 1099 season guide for federal reporting thresholds and exceptions.

Should fees reduce the amount shown on the 1099-K?

The form reports gross payment activity, not net profit. Reconcile fees and refunds separately instead of expecting the form to equal deposits.
