Year-end tax checklist for a W-2 job and freelance income TaxClover · Published 2026-10-29 · Updated 2026-10-29 https://www.taxclover.com/resources/w2-and-1099-tax-checklist Gather payroll, freelance profit, and payment records into one year-end tax plan. Follow a worked example and download an editable review checklist. 2026 federal planning guide for an individual with wages and a sole-proprietor side business. Figures are fictional assumptions, not a calculated tax return. State rules and special situations need separate review. TaxClover does not file taxes. Bring the job and side business into one projection Your paycheck withholding and freelance estimated payments help fund the same federal individual tax return. Reviewing either in isolation can leave a gap. Start with an updated full-year projection, then compare the tax target with payments already made and withholding still expected. For a year-end review, use the latest pay statement rather than waiting for the final W-2. Bring actual business records rather than assuming a future 1099 will equal profit. The example below starts after an adviser or a tax worksheet has calculated the projected total tax; it does not infer tax from a flat percentage of freelance revenue. Gather | Record | Check before using it Latest pay statement | Year-to-date federal income tax withheld and remaining payroll dates | Do not count Social Security or Medicare deductions as federal income tax withholding Business ledger | Receipts, refunds, expenses, and expected year-end activity | Reconcile transactions; an information return may overlap another report Prior-year return | Applicable prior-year tax, AGI, and whether it covered 12 months | Use the worksheet definition of tax, not last year's refund or balance due Payment confirmations | Tax year, agency, date, payment type, and amount | Count an estimated payment once; a bank transfer to savings is not a tax payment A fictional November review with four paychecks left Assume Jamie's updated projection shows $18,000 in total 2026 federal tax after the applicable credits, including self-employment tax. The qualifying prior-year tax is $12,000; prior-year AGI is $90,000 and that return covered all 12 months. Jamie is subject to the ordinary individual rules, not a special taxpayer exception. Expected full-year federal income tax withholding is $10,000, including withholding on the four remaining paychecks at the current settings. Estimated payments already made total $1,000. The ordinary annual target is the smaller of $16,200 (90% of $18,000) and $12,000 (100% of the qualifying prior-year tax), so this example uses $12,000. The target funding gap is $12,000 minus $10,000 minus $1,000, or $1,000. If payroll can apply an additional amount to all four remaining checks, $1,000 divided by four is $250 extra federal withholding per check. This is an annual funding comparison, not a conclusion that earlier installments were paid on time. Planning question | Calculation | Result Gap to the assumed annual target | $12,000 − $10,000 − $1,000 | $1,000 Additional withholding across four checks | $1,000 ÷ 4 | $250 per check Projected filing balance after funding the target | $18,000 − $12,000 | $6,000 still to reserve or pay Separate the annual target from the final bill The $6,000 in the last row is why a safe-harbor discussion should not end at the additional payroll amount. Jamie can choose to set aside or pay more toward the projected bill, and should recheck the projection when business profit changes. Funding a payment target does not lower the tax itself. The federal prior-year percentage generally rises to 110% when prior-year AGI exceeds $150,000, or $75,000 for married filing separately. Prior-year reliance requires a 12-month return. The IRS also describes a general $1,000 balance threshold and special rules. Use Publication 505 and the linked penalty guidance to check which rules apply before selecting a target. Check payroll timing and payment dates Form W-4 Step 4(c) requests an additional dollar amount withheld each pay period. Follow the current form instructions or IRS estimator for the full update, confirm payroll's processing deadline, and inspect the first affected pay statement. Do not assume a change submitted today will affect every remaining paycheck. Federal withholding is generally treated as paid evenly across the installment dates unless actual withholding dates are used under the applicable rules. Estimated payments carry their own payment dates. A late estimated payment does not automatically remove an earlier underpayment penalty. Uneven freelance income may call for an annualized calculation; preserve when income and expenses occurred, not just their year-end totals. If Jamie's change reaches only two checks, an unchanged $250 instruction adds $500, leaving $500 of the assumed annual gap. Recalculate with the checks that can actually be affected. Keep a separate record of any estimated payment so it is not also counted as future withholding. Finish a review packet you can use again Wages can affect the Social Security portion of self-employment tax, so a standalone side-income estimate may miss part of the picture. Give the preparer or worksheet both wage and business figures. The linked Schedule SE instructions explain the interaction; use the applicable filing-year form rather than carrying a prior-year wage limit forward. Save a dated copy of the projection, the payroll change, the business reconciliation, and payment confirmations. Note what remains uncertain, such as an unpaid invoice or a late-year expense. Schedule another review after the final payroll and business ledger are available. Handle any state withholding and estimates separately. The downloadable worksheet organizes these inputs without calculating a return or transmitting your entries. Keep sensitive identifiers out of it. Use the withholding comparison tool for prepared tax figures, and the reconciliation guide when payment-platform records overlap.
